Automate Daily Google Calendar Events to Trello
This workflow provides a seamless solution for synchronizing your Google Calendar events with Trello, automatically creating detailed task cards for your daily schedule. It helps busy professionals stay organized and prepared for every meeting without manual data entry, transforming your calendar into an actionable task list.
Key Features
- Daily Synchronization: Automatically creates Trello cards for today's calendar events every morning at 8 AM.
- Intelligent Filtering: Skips recurring, non-essential events like "Lunch" or "Check email" to keep your Trello board clean and focused.
- Pre-filled Meeting Templates: Generates Trello cards with a structured description template for meeting notes, including sections for purpose, next steps, decisions, and discussion.
- Comprehensive Event Details: Automatically populates cards with the event name, description, due date, and a direct link back to the original Google Calendar event.
How It Works
This workflow runs daily to transform your schedule into actionable Trello tasks:
- Scheduled Trigger: The workflow activates automatically every morning at 8 AM.
- Daily Time Window: It precisely calculates the start and end times for the current day to fetch relevant events.
- Fetch Google Calendar Events: The workflow connects to your specified Google Calendar to retrieve all individual events scheduled for the current day.
- Process Events: Each calendar event is then processed individually to extract key details such as the event summary (name), description, start time, and HTML link.
- Filter Unnecessary Tasks: An 'If' node checks if the event summary matches a predefined list of recurring, non-essential tasks (e.g., "Lunch", "Wrap Up").
- Create Trello Cards: For all valid, non-excluded events, a new Trello card is automatically created. This card includes the event name, due date, a link to the original event, and a pre-formatted template for meeting notes.
- Skip Excluded Events: If an event matches the exclusion criteria, it is simply skipped, preventing clutter and ensuring your Trello board remains focused on actionable items.
